How we use your details

VetWeb records your practice name, email, request source and email preference in Hybridware. If you choose the series, Brevo sends it using VetWeb’s verified sender. Every series email includes an unsubscribe link. Filling in the downloaded PDF does not send its contents to us. For questions about your details or a removal request, contact hello@vetweb.uk.

How to use the template

Build the plan around one useful change.

01

Start with the change you need

Choose a priority that your team can explain in a sentence. It might be making a service easier to understand, improving the membership enquiry journey or introducing a new location. Write down why it matters and what evidence would help you judge progress. Avoid asking one quarter to solve every marketing problem at once.

02

Choose the audience and the next step

Be specific about who needs the message. New clients, existing members and people considering a particular service may need different information. Then choose a useful action: read the service information, ask a question, use the approved booking route or discuss membership with the practice. The destination should be ready before the campaign starts.

03

Plan the message before the channels

Explain the offer or service in plain language, with the details the practice has approved. Decide which benefits need to be understood and which practical questions the campaign should answer. Only then choose the website, email, print, signage or social activity that will carry the message.

04

Give each month a practical job

Use the 90-day calendar to sequence preparation, launch and review. Identify the materials needed, the person responsible and the approval date. A website update, a reception leaflet and a client email may work better as one connected sequence than as unrelated tasks.

05

Check delivery against team capacity

A plan is useful only if the practice can deliver it. Allow time for clinical approval, supplier work, photography, system changes and team briefing where those are part of the campaign. If the programme is too full, reduce the number of activities and protect the work that supports the main objective.

06

Review the journey, then plan the next step

Record the starting position and the measures available for the objective. Look at what people actually did, not only how many times content was shown. A campaign review might consider relevant page visits, questions received, completed enquiry routes or the clarity of the information used by reception. Use the findings to choose what to continue, change or stop.

Your questions

Before you brief the work.

Is the planning template free?

Yes. The PDF is free. Enter your practice name and email address to request it. You can also choose the optional four-part planning email series; this is separate from getting the download.

Can we fill it in on a computer?

Yes. The PDF includes fillable text fields. Open it in a PDF reader that supports forms, save a local copy and keep a blank version for the next planning period. It can also be printed.

Does the template send our information to VetWeb?

Filling in the downloaded PDF does not submit its contents to us. Your download request is recorded separately. You decide whether to share any part of your completed plan when you contact VetWeb.

Can you help us turn the plan into a campaign?

Yes. We can discuss the priority, identify the design and communication work needed and prepare a separate proposal for the agreed support.

What if we do not have reliable analytics?

Record the information you do have and identify the measurement gaps. The plan can include improving tracking and recording useful enquiries, rather than treating incomplete figures as a complete baseline.
